1. Who we are
RevAxis Inc. ("RevAxis") provides AI revenue recovery and patient communications software to healthcare practices. This Privacy Policy describes how we collect, use, and disclose information from visitors to our website and users of our Service.
2. Information we collect
- Account data: name, email, phone, practice name, role.
- Customer content: contact records, appointments, call/SMS transcripts, recordings, and other data your practice submits.
- Protected Health Information (PHI): processed only under a Business Associate Agreement.
- Usage data: log files, device info, IP address, cookies for analytics and security.
- Communications: messages you send us for support or sales.
3. How we use information
To provide and improve the Service, secure the platform, comply with legal obligations, support customers, and (with consent) send product updates. We do not sell personal information.
4. SMS / Text Messaging Privacy
Mobile information sharing
We do not share, sell, or otherwise provide your mobile phone number or messaging consent information to any third parties or affiliates for marketing or promotional purposes. Mobile phone numbers and messaging consent data are used solely to deliver the messages you have consented to receive. This information is shared only with the subprocessors strictly necessary to deliver those messages (for example, our SMS carrier Twilio), and never with any party for marketing or promotional purposes.
What we collect for messaging
When you opt in to SMS through a RevAxis-powered form, we collect your phone number, your consent record (timestamp and source), and the content of messages exchanged, in order to deliver appointment reminders, care communications, and related messages from your healthcare practice.
How we use it
Your mobile information is used only to send the messages you consented to receive from your healthcare practice. We do not use it for any other marketing or promotional purpose, and we do not sell it.
Message frequency and rates
By opting in, you agree to receive recurring text messages from your healthcare practice via RevAxis. Message frequency varies. Message and data rates may apply.

5. AI processing
Customer content may be processed by AI subprocessors (e.g., LLM providers) under contractual safeguards including no-training commitments and, where applicable, BAAs.
6. Sharing
We share data only with vetted subprocessors (hosting, telephony, AI, observability), where required by law, or with your direction. A current subprocessor list is available on request. We do not share mobile phone numbers or SMS consent data with any third party for marketing or promotional purposes.
7. Retention
We retain data for the duration of the customer relationship and as required by law. PHI retention follows the BAA. Customers may request deletion subject to legal hold.
8. Security
TLS 1.3 in transit, AES-256 at rest, role-based access control, MFA, audit logging, and US-only data residency.
9. Your rights
Depending on your jurisdiction (e.g., CCPA, GDPR), you may have rights to access, correct, delete, or port your data, and to object to certain processing. Contact privacy@revaxis.ai.
10. Patients of our customers
If you are a patient of a practice using RevAxis, the practice is the controller of your PHI. Direct privacy requests to the practice. RevAxis processes such data only as a Business Associate.
11. Cookies
We use essential cookies for authentication and limited analytics cookies. You can control cookies via your browser.
12. Children
The Service is not directed to children under 13. Pediatric PHI may be processed only via authorized practice workflows under the BAA.
13. Changes
We may update this Policy. Material changes will be posted here with an updated effective date.

Terms & Conditions

1. Acceptance of Terms
By accessing or using RevAxis ("Service"), provided by RevAxis Inc. ("RevAxis", "we", "us"), you ("Customer", "Client") agree to be bound by these Terms & Conditions. If you do not agree, do not use the Service.
2. Description of Service
RevAxis provides AI-powered revenue recovery, communications, and patient-engagement tooling for healthcare practices, including inbound/outbound voice, SMS/MMS messaging, scheduling assistance, and analytics.
3. Eligibility & Accounts
You must be at least 18 years old and authorized to bind your organization. You are responsible for safeguarding credentials and all activity under your account. Notify us immediately of unauthorized access.
4. Customer Responsibilities
Customer is responsible for: (a) lawful use of the Service; (b) obtaining and maintaining all required patient and contact consents (TCPA, HIPAA, state law); (c) the accuracy of data submitted; (d) maintaining required Business Associate Agreements where PHI is processed; (e) honoring opt-out requests.
5. HIPAA & PHI
Where the Service processes Protected Health Information, a separate Business Associate Agreement (BAA) governs that processing and is incorporated by reference once executed.
6. Messaging & Calls Compliance
Customer represents that all phone numbers uploaded or contacted via the Service have lawful, documented opt-in for the channels used (voice, SMS, MMS), in compliance with TCPA, CTIA, carrier policies, and applicable A2P 10DLC / Toll-Free Verification requirements. Customer indemnifies RevAxis against violations of this representation.
7. Fees & Billing
Fees are described in the applicable order form or pricing page. Subscriptions auto-renew unless cancelled before the renewal date. Telephony, messaging, and AI inference usage may be billed as pass-through or metered usage.
8. Acceptable Use
You may not: (a) use the Service for spam, harassment, fraud, or unlawful content; (b) attempt to reverse engineer or disrupt the Service; (c) contact individuals on do-not-contact registries without exemption; (d) upload malware or attempt unauthorized access.
9. Intellectual Property
RevAxis retains all rights in the Service, including software, models, and documentation. Customer retains rights to its data. Customer grants RevAxis a limited license to process Customer data solely to provide and improve the Service, subject to the BAA and Privacy Policy.
10. Confidentiality
Each party will protect the other's confidential information with the same care it uses for its own, and not less than reasonable care.
11. Warranties & Disclaimers
THE SERVICE IS PROVIDED "AS IS". REVAXIS DISCLAIMS ALL IMPLIED WARRANTIES INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. AI OUTPUTS MAY BE INACCURATE; CUSTOMER REMAINS RESPONSIBLE FOR CLINICAL AND OPERATIONAL DECISIONS.
12. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, REVAXIS'S AGGREGATE LIABILITY WILL NOT EXCEED THE FEES PAID BY CUSTOMER IN THE TWELVE (12) MONTHS PRIOR TO THE CLAIM. NEITHER PARTY IS LIABLE FOR INDIRECT, INCIDENTAL, OR CONSEQUENTIAL DAMAGES.
13. Indemnification
Customer will indemnify RevAxis against claims arising from Customer data, Customer's violation of law, or breach of Section 6 (Messaging Compliance).
14. Termination
Either party may terminate for material breach uncured after 30 days' notice. Upon termination, Customer's right to use the Service ends and Customer data will be deleted or returned per the BAA / Data Processing Agreement.
15. Governing Law
These Terms are governed by the laws of the State of Delaware, without regard to conflict-of-laws principles. Exclusive venue lies in the state and federal courts located in Delaware.
16. Changes
We may update these Terms from time to time. Material changes will be communicated via the Service or email at least 30 days before taking effect.

SMS Opt-In Policy

Consent
Patients and prospective patients provide express written consent to receive SMS text messages from a healthcare practice powered by RevAxis by affirmatively checking an unchecked opt-in checkbox on a web form, or by texting a keyword to a practice number. Consent is not a condition of purchase or of receiving care.
Program description
Messages may include appointment reminders, confirmations, recall notices, intake forms, patient balance notifications, and related care communications from the healthcare practice you engaged with. Messages are sent by the practice via RevAxis using Twilio as the SMS carrier.
Message frequency and rates
Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe. Reply HELP for help.
How to opt out
Reply STOP to any message at any time to unsubscribe. You will receive one confirmation message and no further messages will be sent unless you re-enroll. Reply HELP or contact the practice for assistance.
